Moving into or out of an Ottawa condo in 2026? Condo moves are different from house moves — and 90% of the surprise fees, delays, and disasters in Ottawa condo moving come from missing the building’s move-in rules. This guide covers everything Ottawa condo residents need to know: Certificate of Insurance (COI), elevator booking, loading-dock reservations, move-in fees, time windows, and what to ask your property manager before move day.
The 4 Things Every Ottawa Condo Requires
Every Ottawa condo tower we’ve moved in requires some combination of these four items. Miss one and you’ll be turned away at the loading dock:
- Certificate of Insurance (COI). Most Ottawa condos require the moving company to submit a COI naming the building as Additional Insured, with $2M–$5M liability coverage. Must be submitted 48–72 hours before move day.
- Elevator booking. Virtually every Ottawa condo with more than 4 floors has a service elevator that must be reserved for moves. Typical windows are 2–4 hours. Book 7–10 days ahead.
- Loading dock reservation. Most condos have a shared loading dock/bay. Some allow walk-up unloading at the front entrance; others require loading dock only.
- Move-in / move-out fee. Many Ottawa condos charge a $100–$500 fee. Refundable deposits of $200–$500 are common for damage protection.
Certificate of Insurance (COI): What It Actually Says
Your Ottawa condo’s COI requirement is a legal document proving the mover carries liability insurance. It typically requires:
- Additional Insured endorsement naming the condo corporation.
- $2M general liability (some buildings require $5M).
- Waiver of subrogation.
- 30-day cancellation notice clause.
- Proof of WSIB coverage.
- Certificate submitted in advance (48–72 hours typical).
Your mover should handle all of this. If your mover can’t produce a COI in your building’s exact format — find a different mover. At Men In Trucks we submit COIs daily for Centretown, condo, Glebe, Westboro, and Hintonburg condos.
Elevator Booking: The Logistics
Ottawa condo elevator rules vary by building but typically follow this pattern:
- Book the service elevator 7–10 days ahead. Peak dates (May 1, last weekend of month) book up faster.
- Typical window: 2–4 hours. Some buildings allow 2 consecutive 2-hour bookings for larger moves.
- Elevator pads must be installed by the building before your window starts.
- Weekends and after-hours may incur a surcharge or be restricted entirely.
- Some buildings limit moves to weekdays 8 AM to 4 PM — check before you book move day.
- You cannot “hold” the elevator with keys between floors — the crew must load/unload in organized batches.

Westboro Richmond Road Condos
Newer mid-rise condos. Generally flexible windows but strict about loading-bay parking. COI required.
Glebe Lansdowne Condos

Common Ottawa Condo Move-Day Disasters (and How to Avoid Them)
- “No COI on file” — crew turned away at loading dock. Submit 72 hours ahead. Confirm receipt.
- Elevator double-booked. Confirm your slot 24 hours before.
- Building elevator too small for sofa/mattress. Measure elevator interior; some require sofas to be taken up the stairs.
- Move exceeds 2-hour elevator window. Right-size your crew so it fits. 3–4 movers for a 2-BR is typical.
- Hallway or lobby floor damage. We install runners and corner guards on every condo move.
- Concierge refuses entry because the crew isn’t on the approved list. Email your concierge with crew names 24 hours before.
- Loading dock blocked by garbage pickup or another move. Book ahead and confirm day-of.
- Fire-code violations from propping open doors or elevator. Crew must manage this.
